About the Role: We are seeking a dynamic and versatile Business Assistant to support the CEO in managing operations across two diverse businesses: a thriving SAAS (Software as a Service) company and a high-end speakeasy bar. The ideal candidate will be a highly organized, proactive, and resourceful individual who can seamlessly navigate the unique demands of both fields, ensuring smooth day-to-day operations and strategic execution of the CEO's vision.

Executive Support:
- Assist the CEO with daily administrative tasks including managing calendars, scheduling meetings, and handling correspondence.
- Prepare and edit documents, presentations, and reports for executive meetings.
- Coordinate travel arrangements and itineraries for business trips.
- Oversee project timelines and ensure deadlines are met.
- Manage relationships with clients, vendors, and partners.
- Support the development and implementation of company policies and procedures.
- Conduct market, customer research and analyze industry trends to provide insights for strategic decision-making.
- Assist in budget preparation and financial planning.
- Monitor expenses and track financial performance against budgets.
- Prepare financial reports and analysis for the CEO’s review.
- Handle invoicing, payments, and other financial transactions.
Speakeasy Bar ( 35% workload ):
Event Coordination:
- Update & manage events, including acoustic show, violin show, and special promotions.
- Manage event logistics, including booking entertainment, coordinating with vendors, and ensuring excellent guest experiences.
- Oversee daily operations, including inventory management, scheduling staff, and ensuring compliance with health and safety regulations.
- Handle customer inquiries and resolve any issues to maintain high levels of customer satisfaction.
- Assist in developing and executing marketing strategies to increase visibility and patronage.
- Manage social media accounts and create engaging content to promote events and special offerings.
- Collaborate with the marketing team to design and distribute promotional materials.
- Assist in managing the bar’s budget and financial planning.
- Track expenses and revenue to ensure financial goals are met.
- Prepare and present financial reports to the CEO.
- Handle cash flow, invoicing, and supplier payments.
Job requirement
Qualifications:
- Bachelor's degree in Business Administration, Management, Marketing, or a related field.
- Proven experience in an executive assistant or similar role, preferably within a SAAS company or hospitality industry.
- At least 1 year of experience in a related position
- Strong organizational and multitasking skills, with the ability to prioritize and manage multiple tasks simultaneously.
- Excellent communication and interpersonal skills in Vietnamese and English
- Proficiency in Microsoft Office Suite and project management tools.
- Ability to work independently and as part of a team, with a proactive and problem-solving attitude.
- Knowledge of the SAAS industry and/or bar operations is highly desirable.
- Adaptable and flexible, able to thrive in a fast-paced and dynamic environment.
- High level of discretion and confidentiality.
- Detail-oriented with a focus on accuracy and quality.
- Strong work ethic and commitment to excellence.
- Worktime: Full-time ( 8:30 a.m - 17h30 p.m ) or flex ( 13h00 - 20h30 )
- Global training session in Digital Marketing and Deep Market ( B2B )
- Delivery: Offline
- Location: 412 Nguyen Thi Minh Khai, District 3, Ho Chi Minh City, Vietnam
- Monthly allowance: 7.500.000 VND - 12.000.000 VND + KPIs commission
